The Latham Lassies Softball League holds monthly board meetings on the third Thursday of the month remotely. Active members in good standing are welcome to attend the Annual Public Board Meeting in August. Please contact the board Secretary to confirm the meeting time and location.
League President
Principal Executive Officer who oversees all aspects of the corporation. They will preside at all meetings of the members and/or of the league’s board of directors.
Vice President-Recreation
In the absence of the President, VP’s can perform duties of the president. Primary role of this VP is to coordinate all efforts to ensure a successful Spring and/or Summer programs as determined by the board. This person will coordinate efforts of the following advisory board positions; Concession Manager(s), Sponsorship Coordinator and the Equipment/Team Supplies Coordinator.
Vice President-Travel

Coordinate all efforts to ensure a successful Travel program and/or Fall programs as determined by the board. This person will coordinate efforts of the following advisory board positions; Winter Facility/Training Coordinator and the HUDMO Coordinator.
Treasurer
Primary role of this board position is to ensure all monies collected from members (Registrations, fundraising and concession monies) are deposited to applicable League accounts. This position will oversee and monitor funds spent on behalf of the league to maximize funds used for member benefits while securing applicable savings. All transactions are recorded in applicable accounting software and reports are supplied to all executive board positions, generally at board meetings. This person will coordinate efforts of the following advisory board position, Assistant Treasurer.
Field Director
Primary role of this board position is to ensure all fields are suitable and available (weather permitting) during regularly scheduled games. Position is the custodian of all corporate owned equipment and oversees the maintenance of all equipment. This person will coordinate efforts of the following advisory board positions; Field Manager and Team Field Coordinator(s).
Player Agent
Primary role of this board position is to ensure players are playing at an appropriate level (either by age or skill level). The role is the primary point of contact for parent concerns. This person will coordinate efforts of the following advisory board positions; Website/Registration Coordinator, the Scheduling Coordinator, and the Team Material Coordinator.
Secretary
Primary role of this board position is to document and record all board meetings and to distribute board approved communications in accordance with the corporation’s bylaws, while monitoring all including correspondence (emails etc) and distributing to applicable board position or the entire board when deemed necessary. Position is the custodian of all corporate records. This person will coordinate efforts of the following advisory board positions; Town Liaison and the Marketing Coordinator.
Concessions Inventory/Vendor Coordinator
Primary role of this position is to ensure concession stand is ready for the recreational season, including securing applicable permits, working with outside vendors, scheduling deliveries and/or shopping to maintain applicable inventory levels based on past sales data. This role will make recommendations to VP-Recreation Program for additional equipment purchases or other applicable changes for board approval. This role will work closely with Treasurer position to coordinate monies collected and sales data tracking for applicable tax filings.
Concessions Food Prep/Volunteer Coordinator
Primary role of this position is to ensure concession stand is ready for the recreational season, including coordinating cleaning of concession stand and equipment (volunteers help), volunteer training to make sure food preparation is done safely, and working with Scheduling Coordinator to secure volunteer from the Home Team and to have knowledgeable volunteer present at start of each game day to start food prep/train volunteers.
Marketing Coordinator
Primary role of this position is to communicate events held by the Latham Lassies via social media and our website. Role will include article publication to our website to share news of league changes and accomplishments.
Assistant Treasurer
Primary role of this position is to ensure all insurance binders are maintained and updated annually, submitting additional insurance binder requests when necessary. Position will work with Treasurer to record all applicable financial transactions accurately and will be available to audit such transactions as requested by the Board.
Scheduling Coordinator
Primary role of this position is to get 12 games scheduled for each rec team during their season while ensuring that the applicable umpire is scheduled also. Ensures that umpire is obtained for applicable Travel games hosted at our facility for HUDMO games or tournament games, when applicable. Works with external Umpire Coordinator when adult umpire is required (10U+) and with youth umpires directly to schedule oversight of 8U games.
Sponsorship Coordinator
Primary role of this position is to solicit team sponsors for the recreational program by maintaining existing sponsorships and developing new relationships and potential sponsors based on number of teams each season. This person will work to distribute team plaques to applicable sponsor. This role will work with VP-Recreation Program to ensure sponsors logos and special requests (i.e. team color) are obtained and shared via our website, team shirts and sponsor banners.
HUDMO/Tournament Coordinator
Primary role of this position is to attend applicable HUDMO meetings to advocate for the Latham Lassies program, develop relationships with other local leagues, and to ensure all team registrations are completed accurately and timely, providing applicable insurance binders to Team Managers when required for external training space or participation in games on other fields (such as during a tournament. This role will work with VP-Travel Program to ensure travel teams are aware of local tournaments.
Community Liaison-North Colonie Schools
Primary role of this position is to communicate with North Colonie School District staff and/or Shaker Softball Coaching staff. Tasks may include coordinating use of our fields for Shaker teams or use of Shaker fields for our Travel teams. Position will prepare applicable North Colonie Central School forms required for use of their fields or gym space by required deadlines. This person will be the primary point of contact for the school district.
Community Liaison-Town of Colonie
Primary role of this position is to communicate with our Town of Colonie staff. Tasks may include coordinating use of our fields for tournaments or when field usage is outside of normal park hours. Position will prepare applicable documents for town field usage or any applicable grants by required deadlines. This person will be the primary point of contact for the town.
Field Manager
Primary role of this position is to ensure all fields are suitable and available (weather permitting) during regularly scheduled games. Manager will work with Team Coaches to ensure proper use of all Latham Lassies equipment, providing training as needed. Manager will monitor wear and tear of equipment and will make recommendations to Field Director when equipment needs to be serviced or repaired.
Team Material Coordinator
Primary responsibilities of this position include proposing potential uniforms to Player Agent board for approval, then ordering, receiving and coordinating distribution to teams/coaches/players. Team Material Coordinator will also propose potential medal/trophies for end of Rec Season and/or Travel Tournaments hosted by the Latham Lassies Softball League.
Equipment/Team Supplies Coordinator
Primary role of this position is to ensure adequate supplies (i.e. Softballs, ice packs) are maintained by the league and that all safety equipment distributed by the league is in working order (i.e. catching gear). This person will work with Rec Team Managers and Coaches to distribute applicable supplies/gear at the start of the season and will coordinate a collection date at the end of the season. This role will work with VP-Recreation Program to ensure a safe recreational season and will make recommendations when equipment needs to be replaced or if additional supplies should be ordered.

Primary role of this position is to ensure the Latham Lassies website is maintained (i.e. posting Board Meeting minutes, building out applicable registrations (ensure accuracy of pricing through testing etc), ensuring applicable Admin rights are granted as needed. This role will work closely with the Player Agent and members as needed to ensure all registrations are completed.
Field Coordinator
Primary role of this position is to ensure all fields are suitable and available (weather permitting) during regularly scheduled games for a particular division of play. For example, there may be a Field D Coordinator. This person would ensure that field is maintained during field clean up days and will work with the Field Manager and Field Director if repairs are needed to field (i.e. bases, additional dirt placement etc.) throughout the recreational season.
Winter Facility/Training Coordinator
Primary role of this position is to ensure adequate training space is available during periods when the Latham Lassies fields are not available for use by our Travel Program by maintaining existing relationships and scouting out additional training space, if applicable. Additional training space may be obtained by working with the North Colonie School District to secure gym space when available. This person will work with school teams or outside trainers to strengthen our players abilities by coordinating training clinics, including pitching/catching, hitting clinics for travel and recreational softball players, ensuring that all outside vendors are provided applicable insurance binders. This role will work with VP-Travel Program to ensure the travel teams have adequate practice and training.
